The Naomi Family Residence is a women and children’s residential recovery ministry. We seek to provide a safe and healing environment that focuses on the foundation of Christ-centered recovery. Those that we serve are also equipped with life skills, basic education and work readiness. Families that complete Naomi Family Residence receive a strong transition back into the community.
Position Summary
The Naomi Receptionist position performs a range of basic office support activities for the Naomi Family Residence, such as answering phone and directing calls, greeting and directing visitors, answering questions and performing routine clerical and data entry. In addition the Receptionist handles emergency and crisis situations as necessary and carries out other duties as assigned.
The shifts for this position will be Saturdays and Sundays every other weekend, from 2:00pm to 10:00pm
Duties and Responsibilities
- Answering phones, route calls, take messages, logs all incoming calls and provides general information using a professional and courteous manner; greets and directs visitors; answers routine inquiries; maintains log of inquiries as required.
- Performs a variety of routine word processing assignments; operates a personal computer to draft basic correspondence, enter data and print letters, labels, reports, and other materials; Sends out form letter mailings participant applications as requested.
- Establishes, maintains, processes and or updates files, records and/or other documents. Provides appropriate information, in response to questions and requests for information.
- Maintains accurate information on participants regarding their curfew or rule infractions. This information is documented on the Client Trac Net (CTN). Periodically sends a summary via email to case managers, director, and assistant director.
- Ensures the timely distribution of incoming and interoffice material to staff and/or management.
- Handles and processes all In-Kind donations.
- Assists with routine, daily medication administration.
- Conducts routine tests for drugs and alcohol: collects specimen samples.
- Carries out other job-related duties as needed or assigned.
Minimum Job Requirements
- A strong candidate will have a High School Diploma or General Education Degree (GED) plus six months or more of related experience or the equivalent combination of training and experience.
Knowledge, Skills, and Abilities Required
- Basic computer and data entry skills, working knowledge of basic Microsoft Word functions.
- Ability to effectively handle receptionist and administrative assistant duties.
- Professional etiquette in answering phones and greeting all staff, visitors, and participants.
- Christ-like countenance in all encounters and communications.
- Ability to prepare and print routine correspondence, labels, and/or other basic written material.
- Experience in the use of office equipment such as copiers, computer, phone systems and scales.
- Ability to perform work in busy office setting.
- Punctual and reliable in carrying out assigned duties.
- Able to support UGM’s statement of Christian faith and appropriately share that faith and knowledge with residents and clients.
- Ability to effectively handle high-stress crisis and emergency situations.
- Committed to protecting confidential information and not inappropriately disclosing it.
Working Conditions and Physical Effort
- Work is normally performed in a typical interior/office work environment in an eight-story office building.
- Occasionally required to lift and carry materials that may weigh up to 40 lbs.
- Standing and/or sitting for long periods are required.
- Must be able to occasionally walk up and down six flights of stairs.
- May occasionally have to handle stressful or emergency situations.
